Medical Receptionist and Administrative Assistant
We are seeking a compassionate and detail-oriented Medical Receptionist and Administrative Assistant to join our team at GentlePsych. The ideal candidate will be responsible for a blend of administrative, clerical, and customer service duties that support the smooth running of our mental health practice. This role is critical in ensuring that both in-office and telepsychiatry patients have a seamless and positive experience with our services.
Key Responsibilities
- Patient Interaction and Front Desk
Duties:
- Greet and assist patients in a warm and professional manner, ensuring a welcoming environment both in-person and virtually.
- Manage patient check-ins and check-outs efficiently, ensuring all information is updated in our system.
- Schedule, confirm, and coordinate patient appointments for in-office and telepsychiatry services, optimizing the provider’s schedule .
- Address non-clinical patient inquiries and resolve minor issues or escalate them to the appropriate team members as necessary.
Administrative and Clerical Support:
- Manage incoming phone calls, emails, and other communications, responding promptly and accurately.
- Maintain and organize medical records and files, ensuring confidentiality and HIPAA compliance .
- Assist with various clerical tasks such as filing, coding, and data entry.
- Provide administrative support to the practice, such as managing office supplies and helping streamline processes.
Billing and Payment:
- Process patient payments and handle inquiries related to billing, ensuring accuracy and compliance.
Qualifications
Experience:
- Previous experience in a medical office or healthcare setting, ideally in a mental health or telepsychiatry environment .
- Experience with medical software and patient management systems is a plus.
- Familiarity with medical terminology and handling confidential medical records.
Skills
- Excellent customer service and communication skills, with a patient-first attitude.
- Ability to multitask and manage time effectively in a fast-paced environment.
- Strong organizational skills and attention to detail, particularly when managing patient data and financial transactions.
- Proficiency in Google Suite (docs, sheets, etc.) and experience with EHR (electronic health records) systems.

- Comfortable working in both an in-office and remote setting.
- Compassionate and empathetic, with a strong understanding of the sensitive nature of mental health care .
